NSW Finance - Generating Receipts from the Hero App (Caregiver Receipt Printing)

A school is able to activate the ability for caregivers to print their own full or tax receipts when viewing finances from the Hero web browser sign in. This feature can be turned on via the Finance Options. Also under Finance Options is the ability to upload an electronic signature/school stamp to enable the receipt to be authorised.

Note: Receipts can not be printed from the Hero mobile app

Caregiver confidentiality has been at the forefront of this development when determining the name and address to be printed on the receipt. These rules will apply:

• The name on the receipt will be the salutation taken from the Account Settings of the eldest student the 'signed in' caregiver is eligible to view.
• If the salutation is blank, then Parent/Caregiver of <surname> family will print.  
• A caregiver is unable to amend a salutation. They will need to contact the school if an amendment is required.
• If the address selected under Account Settings is the student's address, then this will print on the receipt.
• If the address selected under Account Settings is a caregiver, then the address will ONLY print if it belongs to the 'signed in' caregiver. If the address is not for the 'signed in' caregiver, then no address will print.  This is for privacy reasons.
• If the address selected under Account Settings is 'Somebody Else', then no address will print as ownership cannot be determined.

SETTING THE REQUIRED FINANCE OPTIONS

1. Navigate to the Administration menu. If you have a wide-screen device this will already be visible on the left-hand side of your screen. If not, click on the Administration menu icon at the top left-hand side of your screen.

2. Under the heading Options select Finance Options

3. You may wish to provide instructions to your caregivers via a Statement Message e.g. 

4. Place in the Message shown on Receipts field the wording you wish to have printed above the signature

5. Drop, Browse or Embed a .png or .jpg of the electronic signature/school stamp image into the Electronic signature for receipts box provided. 

Note:  To change an already existing signature, click REMOVE CONTENT before selecting a new image.

6. Set the slider Caregivers can print their own receipts in Hero app to ON

7.  Click the SAVE button

 

SETTING UP A STUDENT'S ACCOUNT SETTINGS

The Account Settings on a student's finance page play an important role in receipt printing. Caregivers are not able to amend salutations or address details when printing receipts.

Ensure that the salutation and address is relevant to the caregivers who have viewing access to a student's finance details i.e. if both caregivers can view finances, then have this reflected in the salutation and use the address of the student. If only 1 caregiver can view finances then this caregiver's name can form the salutation and that caregiver's address can be used.

HOW A CAREGIVER WILL PRINT A FULL YEAR'S RECEIPT

1. The caregiver will log into Hero using their personal email

2. The caregiver will select FINANCE from the menu to view the statement of the students they have finance access to view

3. The caregiver will click VIEW ALL PAYMENTS

4.  The caregiver will click the Full Receipt button for the year they require. This will download as a protected (uneditable) Word document.

HOW A CAREGIVER WILL PRINT A DEDUCTIBLE GIFT RECEIPT

1. The caregiver will log into Hero via a web browser

2. The caregiver will select FINANCE from the menu to view the statement of the students they have finance access to view

3. The caregiver will click VIEW ALL PAYMENTS

4.  The caregiver will click VIEW DEDUCTIBLE GIFT PAYMENTS.

5.  The caregiver will click the Tax Receipt button for the year they require. This will download as a protected (uneditable) Word document.
