This help article is relevant to New South Wales schools only.
The NSW Behaviour Incident process has been developed in accordance with the Department of Education Student Behaviour Policy and its accompanying specifications. Terminology relating to the policy will be used where it is relevant to a specific feature. This will assist with the understanding of the process.
Before a student can be suspended or expelled a negative behaviour incident must first exist. It is therefore necessary to create a record in the Behaviour Incidents' Register before being able to initiate a Formal Caution, a Suspension or an Expulsion.
As outlined in the DoE documentation - "This register is primarily to record behaviours of concern. These are defined as a challenging, complex, or unsafe behaviour that requires more persistent or intensive interventions. It does not include low-level, developmentally appropriate behaviours, such as testing boundaries and rules, which are simple to redirect and minimise through universal behaviour support strategies". For behaviours that do not meet this guideline a manual post can be recorded by navigating to the student's Behaviour Page. Click the link for more information on how write a post - Writing a Post
The Behaviour Incidents' Register is a stand alone electronic record of serious incidents, however, a post can also be created on the student's Behaviour Page when an entry is created. This will happen if the Behaviour Page has been set up as the 'designated' page for this process. The Behaviour Page, by default, will be created as the designated page, but a school may choose to use a different page or no page at all. Contact Hero Customer Support if you do not wish to have the Behaviour Incidents' Register posting to the student Behaviour Page.
ADDING CUSTOM BEHAVIOUR CATEGORIES
The DoE has provided a comprehensive list of serious behaviour categories, but along with these, a school is able to create their own categories. A custom behaviour category can be used to action a Formal Caution but cannot be used to initiate a Suspension or Expulsion.
1. Navigate to the Administration menu.
2. Click NSW Department of Education
3. Type the category name in the Label and Value fields and click the + icon.
4. Once all categories have been entered, click the SAVE icon to save the options.
VIEWING EXISTING BEHAVIOUR INCIDENTS
1. Navigate to the Administration menu. Only staff with Administration access can view the Behaviour Incidents' Register.
2. Click the arrow beside STUDENT WELLBEING to expand. Click BEHAVIOUR INCIDENTS to view a list of all students with entries in the current year.
3. To narrow down your search, Choose a Term or change the Date From and Date To fields using the calendar provided.
Filtering & Sorting
4. Use the filters below each column heading to quickly find a student, identify a specific category or view entries by class, year level etc
5. Use the arrow beside each column heading to sort the column. The arrow will appear when the cursor is placed over the heading. By default the list is sorted by Date/Time.
Options
6. Click the Information icon to view the Behaviour Post for this entry. This icon will not exist if no behaviour post has been created.
7. Click the Edit icon to amend any of the entry details. This will amend the associated post on the student's designated behaviour page.
8. Click the Trash icon to delete the entry. This will delete the associated post on the student's designated behaviour page. NB: The trash icon will not be available if the incident has been escalated to a suspension or expulsion.
9. Click the Close icon to mark the incident as closed.
10. Green icons form the connection to the Suspensions and Expulsions processes. Click the Halt icon to create a Formal Caution or initiate a Suspension.
11. Click the Transit icon to initiate an Expulsion. The Transit icon will not be available if a custom behaviour category was used.
12. If a behaviour incident has been escalated to a suspension or expulsion, you can click the Arrow icon to view the escalated entry in the Suspension or Expulsion Processes.
ADDING A NEW BEHAVIOUR INCIDENT
1. Navigate to the Administration menu. Only staff with Administration access can add an entry to the Behaviour Incidents' Register.
2. Click RECORD AN INCIDENT.
3. Select the Student. Start typing to narrow down the search or click the space bar to see all students.
4. The Reported by field will default to the staff member entering the incident. If this needs to be changed click the x to remove the entry and start typing or click the space bar to select a replacement.
5. Enter the Incident Date and Time. Click the Calendar icon to select the date. Click the Clock icon to select the time.
6. Select the Behaviour Type from the dropdown list. This list is specific to DoE requirements. NB: The DoE suggests that the behaviour incidents' register only be used for 'Negative' behaviour incidents, however the process does cater for Positive and Neutral options.
7. Select the Time Period. This is required by the DoE and may not always perfectly align with the incident time.
8. Select the Behaviour Category from the dropdown list. The DoE specified behaviour categories will appear first, followed by any custom behaviour categories entered by the school. This field will only be requested for a Negative behaviour.
9. Enter the Incident Details in the text area provided. Formatting can be used in this area e.g. bullet points, indenting, bold.
10. Start typing or press the spacebar to select a Referred by staff member. This will bring up a list of current staff for selection. This can be the person who reported the incident.
11. Enter the Referral Notes.
12. At the base of the screen you have the option to prevent a post being generated on the designated Behaviour Page. This will only be available if a designated Behaviour Page exists.
11. Click NEXT to choose the tags required for the post. These are the standard tags from the associated page.
12. Click SAVE to create the incident record.
The incident record will now appear in the register with the escalation action buttons available. The Outcome will start as 'Unresolved'. This will be updated if a behaviour incident is escalated or closed.
