Once reports have passed through the Review Stage and are ready to be published, you will want to make them visible to the caregivers of your school community. Only staff members with Hero administration rights have the ability to publish reports.
PLEASE NOTE: Reports should be published one class at a time. Publishing a large number of reports simultaneously may cause your computer to run out of system resources, which will prevent the reports from publishing correctly.
PUBLISH REPORTS
-
Navigate to the Reporting hub on the left of your screen
-
Locate the class or group you are ready to publish reports for by searching or browsing in the groups menu. Click on your class or group.
- This takes you to the reporting dashboard for the class or group which provides a clear overview of your progress, showing for each active template:
- How many reports are still to be written
- How many reports are in progress
- How many reports are ready for review (and ready for principal or leadership comment)
- How many reports are ready to publish
- How many reports are already published
-
Scroll to the report you are publishing and click Publish reports
- You are able to publish for individuals, multiple students, or the whole class.
- To select an individual student: Click the checkbox beside the student's name.
- To select more than one student: Click multiple boxes for the specific students you wish to include.
- To select the whole class: Click the Select all box at the top of the list.
Once you have made your selection, click the publish button at the bottom. This will confirm the number of reports you are publishing.
-
Clicking publish will notify the caregivers with access to each student in Hero that a report has been made available. This cannot be unsent. See the help article Viewing, Downloading and Printing Reports for more information on how caregivers will view student reports in the Hero app.
EDIT A REPORT BEFORE PUBLISHING
-
Follow steps 1-5 above
-
Click Move back to Ready to Review
This will send the report back to the Review stage. The report may be edited as per this help article - Reviewing Reports
Note: you will not be able revert reports back to Ready to Review if changes have been made to the report template since marking the report as Ready to Publish. These will be labelled clearly (Older version) and can still be published as above. To re-write the reports with the updated template, void and restart - Voiding Reports. Note: The Move back to Ready to Review button will be disabled if any selected students have Older versions of reports. Deselect these students to proceed.
