All long-term and serious medical conditions are entered into ERN and will be imported into Hero using the student sync process. As ERN is the single source of truth for these medical conditions, data received cannot be edited or deleted. Schools are, however, permitted to enter short-term, non-serious medical conditions directly into Hero e.g. injury. These will NOT be uploaded to ERN due to their short-term nature.
VIEWING A MEDICAL CONDITION ON AN EXISTING STUDENT
1. Find the student using one of the search tools available
2. Click on the student Information (i) icon
3. Click on the WELLBEING Section heading.
The section you are in will be displayed in blue and underlined and the fields for that section will be displayed.
4. At the top of the screen you will see all medical conditions. These are broken into sections according to the condition type. Sections are Serious Allergies, Serious Medical Conditions, Non-Serious Allergies, Non-Serious Medical Conditions and Short-Term Medical Conditions.
5. The content of all fields is displayed on the tab as either text or icons but you can click PREVIEW to view the full details as a popup. Medical conditions showing the PREVIEW button have been synced from ERN so are not editable.
6. The icons reveal important information.
- The Alert icon is triggered by the Anaphylaxis or High Risk sliders being set.
- The Tablet icon is triggered by the Precribed Medication Held Onsite slider.
- The Syringe icon is triggered by the Adrenaline Autoinjector Held Onsite slider.
- The Document icon is triggered when any Action Plan has been clicked.
- A Calendar icon will be displayed if a medical condition has passed an existing End Date.
7. Medical actions plans need to be uploaded to the Individual Health Support Plans page. This page will only show in the student menu if the Individual Health Support Plan Uploaded? field is ticked prior. This field appears under a student's medical conditions. Ticking this field will also add the student to the autogroup of the same name.
8. Click the newly visible page to upload the plan.
ADDING A SHORT-TERM MEDICAL CONDITION TO AN EXISTING STUDENT
1. Find the student using one of the search tools available
2. Click on the student Information (i) icon
3. Click on the WELLBEING Section heading.
4. Click the ADD MEDICAL CONDITION button to add a Short-Term Medical Condition. Only these can be added directly into Hero. All other conditions MUST be added into ERN.
6. Enter all the available details for this medical condition. The Type of Condition and Subtype cannot be changed as these relate to the short-term nature. It is also not possible to view/update any severity sliders as all serious medical conditions MUST be entered into ERN.
- Setting the Priority will determine the order you view the medical condition under Short-Term Medical Conditions.
- Enter all necessary information in the Description.
- Enter the Start, End and Review Dates if these are known.
- Setting the Precribed Medication Held Onsite will trigger the Tablet icon.
Ensure you scroll to the bottom of this screen and click DONE
13. The new medical condition will display on the student in orange.
14. Click Save to update the student record.
15. Click EDIT to check or update the details.
VIEWING MEDICAL CONDITIONS FOR A GROUP OF STUDENTS
1. Medical Conditions can be viewed and printed via the List Builder. View this help article for more information on how to use the List Builder.

2. Scroll down to Medical Conditions to find all medical condition fields. Selecting the required fields from this section will print the fields for all 'current' medical conditions.
3. Click Include non-current medical conditions to include both current and expired medical conditions.
4. Hero also provides a Pre-made list for use in the Medical Room. This list also includes all current medical conditions in the columns determined by their severity.
