Schools have the ability to receive absentee messages directly from caregivers via the family app. This will save both time and money when processing attendance.
A Caregiver will be able to report an absence or late arrival from 3pm the day before and up to 3pm on the current day. This will generate a notification and message in Hero that will be visible to both the teacher and the administrator. Note: It will not update the attendance mark automatically.
The Class Teacher will receive a notification automatically when an attendance message is sent. The administrator will need to enable an attendance notes notification in order to receive this notification.
ENABLING ATTENDANCE NOTE NOTIFICATIONS
As an Administrator you will probably wish to receive notifications when a Caregiver sends absence or late messages from their app. By receiving these notifications you will catch those students who may have been marked Present in error by their teacher.
1. Click your profile icon in the top right corner of your screen to reveal your user menu.
2. Select MANAGE SUBSCRIPTIONS
3. Click the red ADD icon at the bottom of the screen.
4. Select ATTENDANCE NOTES.
5. Enter the Group you wish to receive notifications for i.e. Current Students will provide you with notifications for the whole school.
6. Click SAVE SUBSCRIPTION.
WHAT THE CAREGIVER WILL SEE AND DO
When the Caregiver logs into the parent app they are presented with the Hero Premier landing page. To send an absent/late message they will:
1. Click REPORT AN ABSENCE.
2. This will present them with an absence section for each current student they have access to regardless of the school they attend.
3. They will select the reason for the absence and provide the detail. The Additional Information is mandatory. This is to assist the administrator in determining the absent mark without have to phone the Caregiver.
4. Clicking SEND MESSAGE will display a confirmation message and send a notification to the Class Teacher and the Administrator (if this is enabled as above) along with the reason/addition information given.
5. If the Caregiver amends this at any time during the day, a new message will be created. It will NOT remove the original message. The Teacher or Administrator will be able to see that the conditions have changed.
e.g. this is what will be shown if a caregiver first notifies the school of their student being late, then this is amended later when they know their child cannot attend school because they are sick.
WHAT THE CLASS TEACHER WILL SEE
1. The Teacher will firstly receive a notification. This will be received either as an email notification or an in-app notification depending on the notification settings of the user account. Notifications are also accessible through the Bell when logged into Hero.
2. Clicking the NOTIFICATION Icon will display the message.
3. On entering the class Daily Roll, they will see the ABSENT/LATE MESSAGE icon against the student. Hovering over the ABSENT/LATE MESSAGE icon will reveal the information sent by the parent.
4. By clicking the ABSENT/LATE MESSAGE icon, the Reason portion of the message along with the name of the caregiver will be copied into the Hero attendance notes field to be added to the student's attendance record.
WHAT THE ADMINISTRATOR WILL SEE
1. If the Administrator has enabled notifications they will firstly receive a notification. This will be received either as an email notification or an in-app notification depending on the notification settings of the user account. Notifications are also accessible through the Bell when logged into Hero.
2. Clicking the NOTIFICATION Icon will display the message.
3. If the Teacher has marked the student as absent when taking the class roll, they will appear in the Code Given section as absent.
4. If the Teacher is not permitted to enter absence codes, they will leave the student as unmarked for the administrator to process. The ABSENT/LATE MESSAGE icon will be displayed with the student in the Unexplained Absence section.
5. The Administrator can hover over the ABSENT/LATE icon to view the message.
6. By clicking the ABSENT/LATE MESSAGE icon the reason portion of the message along with the name of the caregiver will be copied easily into the Hero attendance notes field and automatically SAVED. This will be added to the student's attendance record.
VIEWING THE ABSENT/LATE MESSAGE FROM THE INDIVIDUAL STUDENT
If a student has received an absent/late message, this will remain displayed in the calendar on student's individual attendance page. When clicking the icon you will see that the note automatically captures who reported the absence in addition to the note. The original note is held for historical reference.
