In the interests of student wellbeing, Hero stores medical conditions as individual records. This allows for better visibility of requirements and for medications to be associated with a medical condition.
Most medical conditions will be added to students via the enrolment process, having been entered on the online enrolment form, but they can also be entered or updated via the individual student.
ADDING A NEW MEDICAL CONDITION TO AN EXISTING STUDENT
1. Find the student using one of the search tools available
2. Click on the student Information (i) icon
3. Click on the MEDICAL Section heading.
The section you are in will be displayed in blue and underlined and the fields for that section will be displayed.
4. The existing medical conditions will be displayed under the appropriate headings. Note: You may see medical conditions displayed in two different formats i.e. a card per medical condition and the original field-based format. It is advisable to gradually convert field-based medical information to individual cards.
5. Click the ADD MEDICAL CONDITION button.
6. Enter all the available details for this medical condition. The more information available, the safer the student.
- The Type of Condition determines its placing on the screen.
- The Subtype provides the user with a selection list of the most common ailments.
- Setting the Priority will determine the order you view the medical condition. 1 Highest to 10 Lowest.
- Enter all necessary information in the Description.
- The Start and End Dates will most likely be left blank for an ongoing condition but can be utilised for a short term condition e.g. injury
- Setting the Anaphylaxis or High Risk sliders will trigger the Alert icon on the card.
- Setting the Prescribed Medication Held Onsite will trigger the Tablet icon. (NB: This field reads as Medication will be Provided on the Enrolment Form as this is more relevant to caregiver entry)
- Setting the EPIPEN Held Onsite Slider will trigger the Syringe icon. (NB: This field reads as EPIPEN will be Provided on the Enrolment Form as this is more relevant to caregiver entry)
- Clicking the checkbox for an Action Plan will trigger the Document icon. Upload the action plan to the appropriate page used by your school.
- Roles required to view - The ability to determine who can see a medical condition can be controlled per individual condition. If Student Medical or Student Sensitive are selected, then only staff members with permission to view Student Medical or Student Sensitive will be able to view or print this condition.
Ensure you scroll to the bottom of this screen and click DONE
13. The new medical condition will display on the student in orange.
14. Click Save
15. Click EDIT to check or update the details.
VIEWING MEDICAL CONDITIONS FOR A GROUP OF STUDENTS
1. Medical Conditions can be viewed and printed via the List Builder. View this help article for more information on how to use the List Builder.

2. Scroll down to Medical Conditions to find all medical condition fields. Selecting the required fields from this section will print the fields for all 'current' medical conditions.
3. Click Include non-current medical conditions to include both current and expired medical conditions.
4. Hero also provides a Pre-made list for use in the Medical Room. This list also includes all current medical conditions in the columns determined by their severity.
