Hero has the ability to store both school and student owned medications along with the ability to retain a log of all medications administered.
Caregivers have the ability to view a log of all medications administered to their dependents via the caregiver app. This includes students from all Hero schools.
ADMINISTERING A MEDICATION
A medication can be administered from five different places
- the administration menu
- the medical conditions on an individual student
- the sickbay
- the group menu
- the medication schedule
and can be actioned by any staff members with administration access and by all staff members if the following option is enabled.
To Administer a Medications
1. Navigate to the Administration menu > Medications Register
or the Individual Student > Information (i) icon > Medical (or Wellbeing)
or the Sickbay entry for an individual student
or the Groups Menu if the staff member has the required permission. Only scheduled medications can be issued via the groups menu.
2. If a schedule exists for the medication the SCHEDULE icon will be green and the ADMINISTER icon will be disabled. In this situation, click the SCHEDULE icon to administer from there. The schedule icon will be disabled for school owned stock.
3. If the medication does not have an existing schedule click the ADMINISTER icon. This will be disabled if no stock exists.
4. If the medication is student owned, the associated student will be preset. This student will be able to be removed only if the 'Allow siblings' slider has been set for the medication. In this case, a sibling will be made available for selection as the Person Receiving Medication.
5. If multiple batches exist, the Batch will need to be selected from the list of available batches. If only one batch exists, this will be set as the default.
6. The Date and Time will default to the current date and time. Adjust these if adding the record after the medication has already been given.
7. Select the Block from the dropdown list.
8. The Administered By field will be preset and protected if 'Administered by authorised staff' or 'Self-administered' was chosen when the medication was set up. If it was not one of these, select the type from the dropdown list. Types available are Staff, Student or Other Individual.
9. Click Person Administering Medication and select or enter the name of the person who is administering the medication.
- If the medication was set as 'Administered by authorised staff', only those staff entered on the medication record will be available for selection.
- If the medication was set as 'Self-administered' the student's name will be preset if the medication is student owned or select a student if the medication is school owned.
- If 'Staff' was selected above, all staff will be available for selection from the dropdown list.
- If 'Other Individual' was selected above, type the name of the person administering the medication.
10. If the medication is school owned, click Administered To and select from Staff, Student or Other Individual.
11. Click Person Receiving Medication and select the staff member or student or type the name of the other individual receiving the medication.
12. Enter the Dosage given and any Administration Details to be recorded.
13. Once all details have been entered click ADMINISTER.
14. To keep stock levels accurate, a stock level popup will be displayed. Check the stock on hand and adjust accordingly. Click CONFIRM.
15. A record will be created in the Administration log.
VIEWING ADMINISTERED MEDICATION AS A CAREGIVER
When the stock levels for students are reduced in any way, a record is added to the Administration Log. These entries are also available for viewing by a student's caregivers.
The Caregiver App brings together the administration details for all students across all Hero schools that they have access to view.
1. Click Medication Log in the main menu to view the log.
2. The list will default to the current day but changing the date range or clicking THIS WEEK will provide a more extensive list. Click the TRASH icon to clear all date filters.
3. To search the Short Description for a particular entry, type the details in the SEARCH field.
4. Filtering tools are available for all columns.
5. Sort the columns by clicking on the column heading.
