Hero has the ability to store both school and student owned medications along with the ability to produce detailed reports for stock levels, administration logs and schedules.
Most of these reports are nestled under the Administration menu so are only available to staff with administration access, however all staff can view student owned medications via the List Builder > Premade List > Medical Room.

To Access the Top Four Reports
1. Navigate to the Administration menu > Medications Register
ADMINISTRATION SCHEDULE (ALL)
The Administration Schedule provides a list of all student owned medications that are administered via a regular schedule. These can be short term or long term and carry with them a start and end date.
1. Click the tabs to toggle between CURRENT and NON-CURRENT schedules. Non-current are those that have lapsed end dates.
2. Use the FILTER fields below the column headings to only see those entries relevant to your needs.
3. Click the column headings to sort the list by the column specified. A sorting arrow will indicate the direction of the sort.
4. All of the above reports can be Downloaded or Printed using the options provided.
ADMINISTRATION LOG
The Administration Log holds a record of all actions that reduce stock levels. This includes the administering of medication along with discontinuing medications and reductions in stock quantities. For all stock reductions that are not as a result of administering, a reason is required for audit purposes.
1. The administration log will be a comprehensive listing so additional filtering has been added to narrow down the requirements.
2. Enter details in the SEARCH field to find records based on a Short Description search.
3. Enter a date range or use the quick click options to print the log for a particular timeframe.
4. Limit your search to medications administered via a schedule or independent of a schedule.
5. View the reason for quantities to be reduced without being administered.
6. Filter, Sort, Download and Print in the same way as the Administration Schedule above.
7. If you wish to delete a log, tick the log(s) you want deleted, then Delete (#) selected log.
STUDENT MEDICATION LISTING REPORT
This report provides a list of all student owned medications. The default display only includes current medications but discontinued medications can also be included.
1. Click SHOW DISCONTINUED MEDICATIONS to include those that have been removed from the medications held list. These will be flagged with a delete icon.
2. Click SHOW AUTOINJECTORS ONLY to reduce the list to only Epipens and Anapens.
3. Unclick the buttons to show all.
4. Filter, Sort, Download and Print in the same way as the Administration Schedule above.
STUDENT ANAPHYLAXIS CHECK LIST
This report provides a list of all students who have a medical condition flagged as Anaphylaxis. It is used to identify if the school has everything required to treat an anaphylactic event.
The report identifies if an Anaphylaxis Action Plan has been uploaded and also if there is sufficient and current stock of the required autoinjectors for this student.
Filter, Sort, Download and Print in the same way as the Administration Schedule above.
SCHOOL AUTO INJECTORS AND ASTHMA INHALERS STOCKTAKE REPORT
It is always useful for a school to hold a supply of general use emergency medications. These include Auto Injectors (Epipens / Anapens) and Asthma Inhalers. This dedicated reports helps keep track of these supplies.
1. Use filtering to determine the locations of existing stock.
2. Sort the columns by clicking on the column headings. A sort direction arrow will be displayed.
3. Click the buttons available to download or print the list.
MEDICAL ROOM LIST
The Medical Room list is useful when leaving the school for EOTC activities as it brings together all medication information for the students in your excursion groups. It is also a useful report to have on hand in the event of an emergency when the school needs to be evacuated.
This report is available to all staff via the List Builder.
1. Click on the Quick Links icon (three lines) located on the right-hand side of the screen
2. Click on List Builder
3. Click on PRE-MADE LISTS
4. Click MEDICAL ROOM.
5. The Medical Room list will include, in the medical treatments column, all medications that are linked to a student medical condition. Unlinked medications will not be included.
6. Use the filters at the top of the page to filter by Group or Year Level.
7. Click Filter by Risk to find all students who have medical conditions identified as Anaphylaxis or High Risk ticked. View the Plan Uploaded column to see if an action plan exists for these students.
